We currently have an immediate full-time position opening for aService Coordinatorlocated inCity of Industry, California.
Multi-functional role. Plan, direct, coordinate and provide administrative support for the Service Department. Soliciting Customers to renew or sign up for existing warranty. Duties will be 50% service admin functions including answering the phone, maintaining records and database systems, booking travel, creating quotes, fielding information requests, preparing on demand reports, following-up with customers and additional clerical functions. The other 50% will be dedicated to warranty contract sales and business development.
Answer phone calls and emails from customers, respond quickly and courteously to resolve service needs and ensure customer service satisfaction.
Perform general office duties, such as ordering supplies, maintaining records management database systems, and basic bookkeeping.
Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications.
Create and assign service claims, and complete required documentation.
Track and follow-up on service claims.
Process spare parts quote: generate requisitions, processing orders internally and update customers on the progress of their orders.
Provide timely feedback to management on service failures and customer concerns.
Assist and book travel arrangements for the service team.
Provide quotations for service visits, warranty contracts and process orders accordingly.
Assist in coordinating service training, including managing registration, supplies, and food catering.
Regularly follow-up with customers and solicit feedback on their service experience.
Conducts customer satisfaction surveys with customers and agents worldwide.
Keep updated tracking sheet of warranty contracts, reaching out to customers and generating quotes etc. Generate reports on Costumers contacted, quotes and sales conversion rate.
Track open service calls to ensure submission of service reports and proper job closure.
Filter the database for due preventative maintenance, schedule them and send a monthly list to each field tech based on their territory.
Assist in government maintenance contract bids and work on required documents needed for each bid.
Systematic approach to warranty renewals and achieve agreed warranty contract targets.
Education and Experience:
Associate’s or Bachelor’s Degree; or
2-5 years’ customer service or sales experience; or
Equivalent combination of education and experience.
Multitasking, ability to work in a fast paced environment.
Active listening skills.
Ability to articulate, communicate well /clear phone voice.
