Title: Maitenance Administration
Location: Fort Lauderdale, FL
Responsible for providing superior customer service in person, over the phone and through written communication making the customer feel at home in the maintenance department. Screen all calls for the VP of technical services, director of maintenance, service managers, chief inspector, and crew leaders. Distribute faxes, messages, and mail for the department. Open and close work orders, coordinating with director of maintenance, service managers, chief inspector, crew leaders, and the customers. When opening work orders, check the customer’s current accounts receivable status, reporting any pending balances to the service manager. Update, proof, and review work orders eliminating errors in spelling, punctuation, and grammar. Produce work order invoices that are accurate and understandable to the customer and facilitate the collection of funds for work accomplished. Close all work order invoices within 7 days of aircraft departure with a target of 3 days. Collect balance due for all departments within the company, prior to aircraft departure, assuring all customers are kept within terms and credit limits. Make any arrangements necessary to ensure the customer has invoices, keys, log entries, and any other personal property readily available at the departure location of his/her choice, at least 30 minutes prior to departure time.
Create new work order files and maintain all filing. When aware of an aircraft arriving at the terminal for maintenance, it is your responsibility to enter a reservation in the system with the necessary information for the front desk staff to be able to welcome our customer. Verify and update the customer’s accounting and CRM files with information such as mailing address, aircraft registration, phone numbers, e-mail address, company name, etc. and inform Leslie Horkin of any duplicate CRMs. Prepare daily turnover of aircraft and priority for alternate shifts. Log all aircraft keys in and out of the department and secure in key box.

Research experience with Amstat and or JetNet and other business and aviation database programs is helpful as well as data mining and database development/management. The position might have occasional travel for aviation conventions and events and must be available to work nights outside the standard 9-5 workday on occasions as needed.
