JOB DESCRIPTION

: Executive Assistant

REPORTS TO

: Chief Executive Officer

Pay Range

: $20 to $28 per hour (depending on experience)

Hours

: 8:00 am to 5:00 pm (may be some flexibility with start and end time)

SUMMARY OF JOB DUTIES:

Perform various office administrative support duties including answering phones, greeting visitors, handling mail, and ordering supplies.

Provide administrative support in a variety of functions to an individual, team or department in the company.

Collect, review and analyze data and prepare reports, charts, budgets, and other presentation materials.

Respond to or route routine inquires form external and internal sources with own correspondence or other messaging.

Schedule and coordinate meetings, travel and other group activities.

SPECIFIC RESPONSIBILITIES:

Provide administrative support to ensure the efficient operation of the office that may include word processing, copying, binding, scanning, calling and responding via email.

Answer phone calls, schedule meetings, and support visitors.

Organize and maintain files and databases in a confidential manner.

Plan and organize company events, lunches, meetings and other office-related events.

Assist in the preparation of company reports, materials and presentations.

Make travel arrangements as necessary and assist in the preparation of expense reports.

Ensure operation of office equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.

Maintain supplies inventory by checking stock to determine inventory levels, anticipating needed supplies, and placing and expediting orders for supplies.

Maintain and reconcile petty cash fund for the company.

Perform other related duties as assigned.

EDUCATION & EXPERIENCE REQUIREMENTS:

High school diploma or equivalent

5 or more years of experience in an administrative role supporting multiple individuals and departments in large company (100+ employees)

Manufacturing experience preferred (not required, but must be comfortable working in manufacturing environment)

Ability to work in an industrial environment

Strong verbal and written communication skills

Excellent interpersonal and customer service skills

Excellent organizational skills and attention to detail

Problem solving skills

Must be proficient in MS Office (Outlook, Excel, Word and PowerPoint)

Ability to work independently and meet deadlines
