Position Summary:We are seeking aSchedulerto join the Hill Air operations team. Hill Air is the private flight department supporting the activities of Hillwood’s ownership and its corporate officials. This individual will be responsible for providing trip scheduling, continual flight following, and maintaining accurate crew/passenger flight manifests of the company aircrafts for both domestic and international flights. The ideal candidate has strong customer service skills, meticulous attention to detail, ability to multitask and will take initiative in a professional, fast-paced environment. Additionally, the individual must possess excellent interpersonal communication skills with the ability to interact with individuals at all levels within the organization and with outside partners and customers.

Responsibilities:

Schedules travel for internal and external passengers on the company aircraft

Schedules ground transportation and accommodations for crewmembers and passengers, as necessary

Ensures Rockwell Collins Flight Operations Software (FOS) is a current and accurate representation of the Flight Department schedule

Coordinates international landing/overnight permits, slots, and/or visas for crewmembers and passengers

Performs office administration duties as directed by the Director of Aviation or his designee

Serves as greeter and host for all guests and passengers

Participates in the FAA/IS-BAO Safety Management System and emergency response plan

Schedules company aircraft for flights and routine maintenance

Logs post-flight data and maintains department flight records

Retains passenger manifests and all other related records

Monitors current location of the company aircraft at all times

Negotiates discounts with fuel providers when necessary

Researches, selects and books services provided by Fixed Base Operators (FBOs)

Assists Flight Attendants with catering orders, (places catering orders when needed)

Additional duties as assigned

Required Skills/Abilities:

Ability to process information quickly and react in a positive manner during unexpected and/or critical situations

Must be able to remain calm, think and react quickly in all types of situations

Must possess strong written and verbal communication skills

Must possess excellent organizational skills

Proficiency in Microsoft Office programs (Outlook, Word, PowerPoint, Excel)

Proficiency in FOS or equivalent scheduling software programs

Education and Experience:

High school diploma required; Bachelor’s degree preferred

FAA Aircraft Dispatch License, a plus

Minimum five years of experience in flight planning, working with both domestic and international flights

Prior experience in aircraft scheduling and handling aircraft crewmember requests
