Client Services Specialist (Flight Operations)

Position Summary:

As a Client Services Specialist you are responsible for interacting with company vendors and clients along with our internal sales, accounting, and operation teams to ensure a flawless trip experience for our clients.

Duties & Responsibilities:

Interact directly with vendors and clients via telephone and email

Manage client accounts and respond promptly to inquiries

Maintain records of client interactions and transactions

Communicate and coordinate with internal departments (i.e. Sales/Accounting/Operations)

Coordinate with FBO staff to confirm aircraft staging and client request

Build and maintain client records and preferences in the flight management system

Schedule client flights

Build or add trip passengers

Communicate flight itineraries and details to client

Coordinate all trip logistics with client and enter all information into itinerary

Arrange and confirm trip logistics such as catering, ground transportation, hotel, etc.

Provide clients with flight itineraries

Handle and resolve client complaints due to aircraft delays in a timely, efficient, and courteous manner

Must have flexibility to work in a 24/7/365 Operations Role and will be assigned shifts that include early mornings, late afternoons, nights, weekends, and holidays.

Other duties as assigned

Knowledge, Skills, & Abilities:

Must be a strong multitasker who thrives in a extremely fast paced environment

Ability to work as part of a close team as well as independently

Strong interpersonal communication skills

Ability to effectively interact with all levels of the company and its clients

Strong attention to detail, organizational and time management skills

Ability to maintain the confidentiality of sensitive information

Self-motivated and independent problem-solving ability

Ability to coordinate and work on multiple projects at once

Ability to work with frequent changes in procedures, directions, and outcomes

Must be able to work efficiently on a MacBook and iPhone

Education and Work Experience:

High school graduate or equivalent

2-3 years of high-touch or luxury customer service experience

1+ year of experience in a flight department or similar aviation role (REQUIRED)

Physical Requirements:

Effectively communicate through verbal, written and/or electronic means

Operate office equipment such as telephone, computer, printer, fax, etc

Move up to 25 pounds on an infrequent basis

Travel to various locations within community, state, and country if needed (less than 5%)
